Terms & Conditions

1. Booking and eligibility

  • Orchard Bank Barn accommodates a maximum of two adults over the age of  21 years . The property is intended for adult guests and, unless agreed with the owners in advance, we do not accept bookings for children. Babies under six months old may be accommodated by prior arrangement.

    Only the guests named on the booking may stay overnight at the property. Additional overnight guests are not permitted unless agreed with the owners in advance.

    2. Payment

    A booking deposit is required within 3 working days of making the reservation to secure the booking.

    The remaining balance is payable one calendar month before the arrival date.

    If the balance is not received by the due date, the owners reserve the right to treat the booking as cancelled.

    3. Cancellation by the guest

    We understand that plans can sometimes change, so we recommend that all guests take out appropriate travel insurance at the time of booking to cover cancellation, illness, travel disruption and other unforeseen circumstances.

      • More than 8 weeks before arrival: the booking may be cancelled and 80% of the deposit will be refunded.

      • Between 8 weeks and 4 weeks before arrival: the deposit is non-refundable. If the balance has already been paid, 50% of the balance will be refunded.

      • Less than 4 weeks before arrival: the booking is non-refundable.

      Any cancellation must be made in writing and will take effect from the date we receive it.

      We strongly recommend comprehensive travel insurance, as we cannot accept responsibility for costs arising from circumstances that prevent you from travelling or completing your stay, except where we are legally required to do so.

    4. Cancellation by the owner

    The owners reserve the right to cancel a booking before arrival where circumstances arise that are beyond their reasonable control.

    Such circumstances may include, but are not limited to:

  • government or public-authority restrictions affecting travel or occupation of the property;

  • essential building or repair works;

  • significant building work by a third party that materially affects the enjoyment or safety of the property;

  • loss of essential services or energy supplies;

  • damage to the property;

  • circumstances affecting the safety or suitability of the accommodation; or

  • any other event that could not reasonably have been anticipated or prevented by the owners.

  • Where the owners cancel a booking for such reasons, they will offer either a suitable alternative date or a full refund of monies paid, as appropriate.

    The owners will not be liable for failure or delay in performing their obligations where this is caused by circumstances beyond their reasonable control.5. Arrival and departure

    Check-in is from 4.00pm on the agreed arrival date.

    Guests must vacate the property by 10.00am on the departure date.

    Early arrival or late departure may only be arranged with the owners in advance.

    6. Nature of the accommodation

    The booking provides guests with the right to occupy Orchard Bank Barn for the agreed holiday period only.

    The booking does not create a tenancy or any right to remain in occupation beyond the agreed departure date. The parties intend the accommodation to be occupied solely as holiday accommodation and not as the guest's principal or permanent home.

    7. Care of the property

    Guests are responsible for leaving Orchard Bank Barn in a clean, tidy and reasonably good condition, allowing for normal use during their stay.

    Guests are asked to treat the property, its contents and the surrounding grounds with care.

    Any accidental damage or breakages should be reported to the owners as soon as possible.

    The owners reserve the right to seek payment for damage, loss or breakages caused by guests or members of their party, beyond reasonable wear and tear.

    Guests are asked to leave the cottage as tidy as possible on departure and to place rubbish and recycling in the appropriate areas.

    8. Smoking, fire pit and barbecue

    Smoking and vaping are not permitted inside the barn or anywhere within the garden/orchard.

    The fire pit and barbecue must be used responsibly and must never be left unattended while lit.

    Guests are responsible for ensuring that fires and barbecues are completely extinguished after use.

    9. Access, parking and the farmyard

    Guests may use the farmyard for access and parking but should be aware that the farmyard is a shared working/private area used by the owners, their dog and visitors.

    Please park considerately and ensure that access is kept clear for other users.

    The main access gate should be closed after entering or leaving the farmyard.

    Guests should be comfortable around dogs, as the owners' dog may be present in the shared farmyard.

    The orchard is the designated outdoor space for guests to enjoy during their stay.

    10. Access for maintenance

    The owners, or their authorised representatives, may require reasonable access to the property during a stay for essential maintenance, repairs, safety checks or other necessary purposes.

    Where possible, guests will be given reasonable notice.

    11. Respect for neighbours and the local area

    Orchard Bank Barn is situated within a friendly rural hamlet.

    Guests are asked to respect the peace and privacy of the owners, neighbours and other local residents and to behave considerately at all times.

    Anti-social behaviour, excessive noise, illegal activity or deliberate damage to the property will not be tolerated.

    The owners reserve the right to require guests to leave the property, without refund, where serious or persistent anti-social behaviour, deliberate damage, breach of the no-smoking policy or other serious breach of these Terms & Conditions occurs.

    12. Accessibility and the historic setting

    Orchard Bank Barn is situated within a Grade II listed historic farm setting.

    Access to the property includes steps and a cobbled farmyard. The accommodation may therefore not be suitable for guests with significant mobility difficulties.

    Guests are responsible for taking appropriate care when using the steps, cobbled areas, farmyard, orchard and other outdoor spaces.

    If you have any mobility or accessibility requirements, please contact the owners before booking so that we can help you decide whether the property is suitable for your needs.

    13. Keys

    Lost keys will be charged at £10 per key, or at the actual cost of replacement where this is greater.

    14. Personal belongings and insurance

    Guests are responsible for their own personal belongings and valuables throughout their stay.

    The owners cannot accept responsibility for loss, theft or damage to guests' personal possessions except where required by law.

    Guests are strongly advised to arrange appropriate holiday/travel insurance covering cancellation, personal belongings, personal accident, travel disruption and other unforeseen circumstances.

    15. Our approach to your stay

    We want Orchard Bank Barn to feel like a home rather than simply somewhere to stay.

    Where possible, we manage and prepare the property ourselves so that we can take care of the finishing touches and make sure everything is as it should be.

    We work with local and environmentally conscious businesses wherever possible, including our local laundry, and use eco-friendly cleaning products.

    We compost suitable garden and kitchen waste for use in the wildflower orchard and aim to support local independent businesses wherever we can.

    We love welcoming guests with fresh flowers, crisp linen, wonderfully soft towels and thoughtful touches such as quality hand soaps, toiletries and candles.

    Our aim is simple: to provide a comfortable, peaceful and beautifully cared-for place from which to enjoy the River Dart, Ashburton, Dartmoor and the wider South Devon countryside.

    Cancellation Policy

    • More than 8 weeks before arrival: the booking may be cancelled and 80% of the deposit will be refunded.

    • Between 8 weeks and 4 weeks before arrival: the deposit is non-refundable. If the balance has already been paid, 50% of the balance will be refunded.

    • Less than 4 weeks before arrival: the booking is non-refundable.

    If we are able to re-let the dates following a cancellation, we will always do our best to offer a refund for any amount recovered, less any costs incurred, at our discretion.

    Any cancellation must be made in writing and will take effect from the date we receive it.
